Practical AI decisions, not tool hype

A simple framework for picking AI work that actually ships.

Most AI projects fail because the problem isn’t defined, the workflow isn’t measurable, and ownership is unclear. This page is a compact decision guide to reduce wasted effort and improve outcomes.

What this is

A lightweight playbook for choosing the right AI work and avoiding the common traps.

What this isn’t

Another list of tools, model comparisons, or “prompt hacks” without context.

Who it’s for

Founders, operators, and technical leaders who want predictable AI outcomes.

Why AI work fails (even with great models)

AI success is mostly process: picking the right problem, defining success, and integrating into a workflow. Tool choice matters later—after the decision is correct.

Vague problem statements “Use AI to improve support” isn’t a plan. Define a concrete job-to-be-done.
No measurable outcome If you can’t measure it, you can’t improve it (or justify it).
Workflow mismatch AI that doesn’t fit existing processes becomes shelfware.

The 5-step AI Success Framework

A quick sequence you can run on any AI idea—before you spend weeks prototyping.

1

Pick a workflow, not a feature

Start with a repeatable process (support triage, invoice coding, sales follow-ups), not “add a chatbot.”

2

Define a measurable win

Choose one: reduce time-to-complete, reduce errors, increase throughput, or increase conversion.

3

Set constraints and guardrails

Decide what the model can’t do: sensitive data, irreversible actions, compliance requirements, and human review points.

4

Prototype the loop (human + AI)

Design the handoffs: what humans provide, what AI returns, and how exceptions are handled.

5

Ship a narrow MVP and instrument it

Start small, measure outcomes, and expand only when the data says it’s working.

Common failure modes (and what to do instead)

If you’re seeing one of these, your AI project likely needs a decision reset—not a new model.

Symptom “The AI isn’t accurate enough.”
Often a data/workflow problem. Add guardrails, narrow scope, and define human review points.
Symptom “People don’t use it.”
Integration problem. Put AI inside the existing workflow, not behind a separate UI.
Symptom “We don’t know what to automate.”
Start with the top 2–3 repeatable tasks where time or errors are costly and measurable.
Symptom “Security/compliance won’t approve it.”
Define data boundaries early and design an approval workflow. Don’t bolt it on later.

The framework in practice

How teams use these steps before committing to an AI project.

When Lensix customers ask where AI fits in their cloud operations, we walk them through these five steps. “Pick a workflow, not a feature” is usually the first thing we tell them.

In healthcare, “security and compliance won’t approve it” is where AI ideas stall. Setting data boundaries and human review points up front is how we approach anything that touches patient data.
